Collection

Documents are collected by a security-screened Customer Service Representative. Documents are pre-checked for completeness and readiness for scanning.

Document

Preparation

Files are organised into categories ready for indexing. Staples, paper clips or any other obstructions to the scanning process must be removed prior to scanning.

Scanning

Process

All files are scanned and saved in PDF format with searchable OCR and indexed for easy retrieval.

Post-Scan

Process

After successfully scanning and indexing the provided files, they are sent through our secure shredding and disposal process. Files can be kept in physical storage if retention is required, and originals may also be returned upon request.

Document scanning is an essential process for organisations looking to modernise the way they manage information. By converting paper records into high-quality digital files, businesses gain faster and more reliable access to documents while reducing the physical storage space traditionally required. Digitised documents also help streamline internal processes and minimise the risks associated with paper-based systems. Key benefits include:

                          • Faster access to documents through quick search and retrieval
                          • Reduced physical storage costs and space requirements
                          • Easier sharing and collaboration across teams
                          • Lower risk of document loss, damage or misfiling

Beyond convenience and efficiency, document scanning also delivers significant compliance advantages. Digital documents can be encrypted, access-controlled and tracked, making it far easier to meet strict data protection standards such as GDPR. With secure, structured digital storage, organisations can implement and maintain clear data governance practices. Additional compliance-related benefits include:

                          • Stronger control over sensitive information
                          • Consistent application of retention and deletion policies
                          • Full audit trails and activity logging
                          • Reduced risk of non-compliance and associated penalties
